The responsibilities of the role will include, but are not restricted to:
Award Application process and collation of content
Provide Executive Support to the Head of HR as and when required.
Keeping well organised files and records of all activity, ensuring administration workstack/dashboard is up to date and appropriately prioritised.
Additional administrative tasks required by Invotra Shared Services to support Invotra Group of Companies
The Core and Chertsey House Building Management and Communications, including ensuring maintenance and upkeep of the building, communicating any news or updates to the group, arranging parking permits
The Core and Chertsey House Building Access – Arranging keycards/fobs
Non IT Asset Management and procurement
Office Layout and Seating Plans – ensuring Team A/Team B remain within Covid Secure Guidelines and can work from a team collaboration perspective
Responsible for ensuring all Covid H&S is upheld within the office
Future of Working planning and communications with any future licensed premises
Building Health and Safety, ensuring all Covid H&S is upheld
Fire Extinguisher servicing
Annual Health and Safety checks
First Aid equipment and employee courses
Health and Safety communications, posters and signposting
On and Off Boarding, leavers and new starters, arranging account set up and closure, initial induction process, diary invites, procurement and removal of office equipment
Attend and record minutes for meetings when necessary
To record holidays for the business
To record sickness and flag any patterns to managers for further investigation
To keep policies and procedures up to date and in line with legislation changes
Attend employment law seminars to keep up to date with HR regulations
Draft HR paperwork for staff in relation to contract amendments, as instructed by Head of HR
Ensuring that all HR documentation is uploaded and maintained, including maintenance of digital employee personnel files and to ensure payroll accuracy.
Assist with the scheduling of employment relations meetings for the Head of HR – performance, grievance and disciplinary sessions
Prepare leaver documentation
Respond to requests for employment references
Personal celebrations/birthdays and procurement of associated gifts
Support with all pensions regulations, enrollment and liaising with the payroll company regarding pension changes.
Produce pension letters and liaise with benefit provider to answer any specific employee queries
Organisation of the annual Compliance audit for ISO-27001 for Invotra Ltd and Invotra Consulting
Assisting the Head of HR in organising quarterly compliance review meetings.
Regularly review assigned ISO-27001 policies and report needs to Head of HR, liaise between the group of companies and coordinate audits.
Management of Compliance Portal
Support Marketing to ensure GDPR compliance of all Invotra Group of companies websites
Communicate GDPR updates to all Invotra Group Companies
